TOPGENTIK Pte. Ltd. (“TOPGENTIK”, “we”, “us”), a company incorporated in Singapore, operates the website topgentik.com and the AI agent platform offered to enterprise customers (the “Service”). This Privacy Policy explains what personal data we collect, how we use it, and the choices you have.
1. Data we collect
We collect the following categories of personal data:
- Identification and contact data: name, email address, phone number, company name, and job title that you provide when contacting us, booking a discovery call, or signing up for our Service.
- Communication data: content of emails, SMS, voice calls, and WhatsApp messages exchanged with TOPGENTIK or our automated agents, including transcripts of recorded calls when you have been notified and have consented.
- Operational data from customer systems: when contracted by an enterprise customer, we may process operational data (e.g., ERP records, documents) strictly to deliver the Service the customer commissioned.
- Technical data: IP address, browser type, device identifiers, cookies and similar technologies for security, analytics, and basic site functionality.
2. How we use your data
- To respond to inquiries and to set up and deliver our Service.
- To send transactional and operational communications via email, SMS, voice calls and WhatsApp Business messaging, including booking confirmations, preparation materials and follow-ups, only after you have initiated contact with us or have given an explicit opt-in.
- To run the AI agent workflows our customers contract us for (validation calls, discovery calls, summary generation, proposal handling).
- To meet our legal, regulatory and audit obligations.
- To improve the security and reliability of the Service. We do not sell or rent your personal data, and we do not use it for unsolicited advertising.
3. WhatsApp Business messaging
When you contact us via WhatsApp or have opted in to receive WhatsApp messages from TOPGENTIK, we use the WhatsApp Business Platform provided by Meta Platforms, Inc. to deliver these messages. Meta processes the message as a processor on our behalf, in line with the WhatsApp Business Messaging Policy. You can stop receiving WhatsApp messages from us at any time by replying STOP.
4. Voice calls
Outbound voice calls placed by our agents are conducted via Twilio Inc. and ElevenLabs Inc. as service providers. When a call is recorded or transcribed, you will be informed at the start of the call and you may end the call or decline recording.
5. Sub-processors
We rely on the following sub-processors to operate the Service: Vercel (hosting), Neon (database), Anthropic (LLM inference), ElevenLabs (voice), Twilio (telephony and SMS), Meta WhatsApp Business (messaging), Google Workspace (email and calendar), Stripe (billing), Calendly (booking), Fireflies (meeting transcripts). Each sub-processor processes data only as needed to perform the Service we contracted with them.
6. International transfers
We are headquartered in Singapore and our infrastructure is hosted in Asia, Europe and North America. When personal data is transferred outside of your jurisdiction, we rely on standard contractual clauses or equivalent safeguards.
7. Retention
We retain personal data for as long as it is necessary to deliver the Service and to comply with legal obligations. When data is no longer needed, we delete it or anonymise it.
8. Your rights
Subject to applicable law (including the EU GDPR for European users), you have the right to access, rectify, delete, restrict, or port your personal data, and to object to processing. To exercise these rights, write to agente@topgentik.com. You also have the right to lodge a complaint with your local data protection authority.
9. Security
We use industry-standard technical and organisational measures to protect personal data: encryption in transit and at rest, access controls and audit logging, least-privilege access for staff, and segregation between customer tenants.
